How to plan an event, step by step

1. Lock the essentials. Event type, date, venue and a target budget come first — everything else hangs off them.

2. Build the guest list. Add households with the number invited and track RSVPs. Confirmed replies give you the headcount that drives catering and seating.

3. Budget from real numbers. Add line items by category and record estimated vs actual. A common split is 40–50% venue & catering, 10–15% decor, 10% photography, 8–10% attire, with a 5–10% contingency — but your own numbers win.

4. Assign tasks & vendors. Give every task an owner and a due date, and keep vendor contacts, quotes and deposits in one place.

5. Write the run of show. A time-ordered programme for the day keeps the MC, vendors and team on the same page.
