COMPANY PROFILE

Your Company

What a company profile is — and what it needs to win work in Kenya

A company profile is your business’s introduction on paper: who you are, what you do, and why someone should work with you. In Kenya it is one of the most-requested documents — tenders ask for it, banks and suppliers want it, and prospective clients judge you by it. A sharp, honest profile opens doors; a thin or boastful one closes them.

The best profiles are specific, not generic. “We are a leading provider of world-class solutions” says nothing; “we have supplied and installed solar systems for 40 schools across three counties since 2019” says everything. Anchor every claim in something real — years in business, sectors served, named capabilities — and the profile does its job.

A standard Kenyan company profile covers: who you are and since when, your mission and vision, what you do, the sectors or clients you serve, why to choose you, and how to reach you. For tenders you’ll also attach registration and tax-compliance certificates — this profile gives you the narrative core to build on.

What a strong company profile includes

  • A clear “about us” — what you do, and since when
  • Mission and vision — short, specific, believable
  • Your products or services, listed plainly
  • The sectors, counties or clients you serve
  • Why choose you — concrete differentiators, not adjectives
  • How to reach you — phone, email, address, website

Common mistakes to avoid

  • Generic superlatives (“world-class”, “leading”) with nothing behind them
  • Padding it to look big instead of being clear and specific
  • No contact details, or out-of-date ones
  • Ignoring the audience — a tender profile and a marketing profile emphasise different things

Questions

What should a company profile include for a tender in Kenya?

Beyond the narrative (about, mission, services, experience), tenders usually want your certificate of incorporation or registration, KRA PIN and tax-compliance certificate, and sometimes referees and past project references. Build the story here, then attach the certificates the specific tender lists.

How long should a company profile be?

Two to six pages for most SMEs — long enough to establish credibility, short enough to be read. One page can work for a young business; padding is worse than brevity.

What’s the difference between a company profile and a business plan?

A profile introduces the business to the outside world (clients, tenders, partners). A business plan is an internal or funding document about strategy and financials. Different audiences, different documents — LeadAfrik has a Business Plan Generator for the latter.

Do I need to register my business before writing a profile?

You can write one anytime, but any claim of registration should be true. If you cite a registration number or KRA PIN, make sure it is accurate — profiles used for tenders are checked.

Can I use my company profile on WhatsApp and email?

Yes — download the PDF and send it. A clean, branded profile is one of the most-shared business documents in Kenya; it is often the first thing a prospect asks for.

This tool is free to write and preview, and gives you an editable draft in professional sections — adjust the wording to your business. Downloading a clean PDF without the small watermark is KES 150 in Kenya (a one-off) and free elsewhere. No account needed; your business details are saved on your own device.
