Kenya buyer’s guide
The best accounting software for a small business in Kenya
For most Kenyan small businesses the honest answer is: you need to know your sales, expenses and profit, handle VAT if you are registered, and keep records KRA will accept. A dedicated duka or shop-books app is enough to start; full accounting software matters once you have inventory, staff, VAT and a bank to reconcile. Here is what Kenyan SMEs actually use, and how to choose.

- KRA and VAT: can it track VAT and produce records that survive a KRA review.
- Ease over features: the best system is the one you will actually update daily, not the most powerful one you abandon.
- Cost in KES terms: a free tier or affordable monthly fee beats an expensive suite you use twice.
- M-Pesa reality: how easily it captures M-Pesa income and till/paybill records.
- Growth path: does it scale from shop-books to full accounting without a painful migration.

Questions people ask
What is the best free accounting software in Kenya?
For a small trader, a free shop-books app that tracks sales, expenses, stock and profit is usually the best starting point. Wave offers free invoicing and basic accounting, and Zoho Books has a free tier for very small businesses. Move up to paid accounting when VAT, inventory and reconciliation become a real monthly load.
Do I need accounting software to be KRA compliant?
You need accurate records of income and expenses, and VAT records if you are VAT-registered. Software makes that far easier and more defensible than paper, but the legal requirement is the records, not any particular product.
QuickBooks or Zoho Books for a Kenyan SME?
Both work in Kenya. Zoho Books tends to be more affordable and integrates tightly with the rest of Zoho; QuickBooks is a widely-known standard many local accountants already support. Pick on price, and on which one your accountant prefers.
