Free Duka Income & Expense Tracker (Excel & Google Sheets)

Most dukas run on a counter book that records some of the money in and almost none of the money out — which is exactly why it can never tell you whether you made a profit. This free workbook fixes that: type each sale and each cost on one row, pick the category and how you were paid, and the profit, running balance and monthly dashboard work themselves out.

What's inside

  • Money In / Money Out with M-Pesa, Cash, Till, Pochi la Biashara, Bank or Credit
  • Self-calculating running balance (red when negative)
  • Live dashboard: sales, expenses, net profit, cash on hand + monthly chart
  • Your own categories drive the dropdowns
  • Formulas locked; only the yellow cells accept typing

The tabs

  • Start Here (guide)
  • Settings
  • Transactions
  • Dashboard

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

The workbook has four tabs. A Start Here guide walks you through it in three steps. A Settings tab holds your business name, starting balance and your own list of categories — which feed the dropdowns so you never mistype 'transport' three different ways. The Transactions tab is where you record every sale and expense, with a running balance that turns red if you ever go below zero. The Dashboard shows total sales, expenses, net profit and cash on hand, a month-by-month table and a chart — all live.

Everything is a formula, so nothing has to be added up by hand. The cells you type into are yellow; the rest are locked so you can't accidentally delete the maths. It opens in Excel or in Google Sheets — upload it to Google Drive and you can keep your books free from your phone.

When typing it in every day gets tiring, the same records can be kept for you automatically: Biashara Yangu records sales by voice, photo or text and reads any M-Pesa statement, then keeps this exact dashboard for you.

Frequently asked questions

Is this duka tracker really free?

Yes. Download the Excel file, open it in Excel or Google Sheets, and use it forever. There is no sign-up and no watermark on your data.

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets — the formulas, dropdowns and dashboard all carry over, so you can track your shop free from your phone.

How is profit calculated?

Profit is total sales (Money In) minus total costs (Money Out) over the period. Because you record both — not just sales — the profit figure is honest, not a guess based on cash in the till.
