Free Employee Leave Tracker (Excel) — Kenya Employment Act

Get leave wrong and you either short-change staff or over-grant days you can't afford — and in a dispute, the Employment Act is what counts. This free tracker is built to it: log each leave, and balances, who's out today and who's over their entitlement all work themselves out.

The tabs

  • Start Here (guide)
  • Employees
  • Leave Records
  • Settings (Employment Act)
  • Dashboard

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

List each employee on the Employees tab with their annual entitlement — left blank, it defaults to the 21-day legal minimum. Log each leave on the Leave Records tab: dates, employee, type (annual, sick, maternity, paternity…) and the working days taken. Days taken and the remaining balance roll up per person, and anyone over their entitlement is flagged in red.

The Settings tab lists the Employment Act 2007 minimums with their sections — annual 21 days (s.28), sick 7 plus 7 (s.30), maternity 90 days and paternity 14 days (s.29) — for you to edit only if your company gives more. The Dashboard shows headcount, who's on leave today, total days taken and anyone over entitlement. Yellow cells for typing; balances are locked formulas.

Frequently asked questions

Is the leave entitlement correct for Kenya?

The Settings tab holds the Employment Act 2007 minimums — 21 working days' annual leave (s.28), 7 days' full-pay plus 7 half-pay sick leave (s.30), 3 months' maternity and 2 weeks' paternity (s.29). These are minimums; a contract may grant more, never less, and you can edit the figures to match yours.

How does 'on leave today' work?

Set today's date on the Dashboard. Any leave record whose dates span that day is counted, so you can see at a glance who is out.

Does it work in Google Sheets?

Yes — upload the .xlsx to Google Drive and open it with Google Sheets.
