Free Project & Task Tracker (Excel) — with overdue flags

A task list without dates and owners is just a wish list. This free tracker turns it into something that chases itself: give each task an owner, a status and a due date, and it flags what's overdue, what's due soon, and how far along the whole project is.

What's inside

  • One row per task: owner, priority, status, dates, % complete
  • Automatic OVERDUE / Due soon / On track / Done flag
  • Days left worked out from the due date
  • Dashboard: done, overdue, completion % and a status chart
  • Formulas locked; only the yellow cells accept typing

The tabs

  • Start Here (guide)
  • Tasks
  • Dashboard

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

Put one task per row on the Tasks tab: what it is, who owns it, priority, status, start and due dates, and how far along it is (%). Days left and a plain-English flag — OVERDUE in red, Due soon in amber, On track, or Done — work themselves out from the due date and status. Sort by the flag each morning and you always know what to push.

The Dashboard shows how many tasks are done, in progress and overdue, your overall completion, and a breakdown by status with a chart. Set today's date to keep the flags current. Yellow cells for typing; the flags and totals are locked formulas. Opens in Excel or Google Sheets.

Frequently asked questions

How does the overdue flag work?

Set today's date on the Dashboard. Any task past its due date that isn't Done is flagged OVERDUE in red; one due within seven days is Due soon (amber); the rest are On track or Done.

Can I use it for more than one project?

Yes — use the owner and priority fields to group work, and filter or sort by them. For a single team's tasks it works as-is.

Does it work in Google Sheets?

Yes — upload the .xlsx to Google Drive and open it with Google Sheets; the dropdowns and flags carry over.
