Your business name, address, KRA PIN, contacts and VAT rate live on a Settings tab you fill once. The quotation pulls them in, computes amounts and totals, and writes a plain-language validity note ('valid until…') from the date you set. There's an acceptance block for the customer to sign — turning an accepted quote straight into a commitment.

Like our invoice template, the quotation is white-label: only your brand prints. Save it as a PDF and send it by email or WhatsApp. It opens in Excel or Google Sheets, and when the customer accepts you can carry the same figures into our invoice template.

Frequently asked questions

What's the difference between a quotation and an invoice?

A quotation offers a price before the work — it holds for a stated period and asks the customer to accept. An invoice requests payment after the work is agreed or delivered. When a quote is accepted, carry the same figures into our invoice template.

Can I add VAT to a quotation?

Yes. VAT is 16% by default and set on the Settings tab. If you don't charge VAT, set the rate to 0 and the VAT line becomes zero. The total updates automatically either way.

Does it show how long the quote is valid?

Yes. You set a 'valid until' date and the template writes a clear note telling the customer how long the price stands — useful when material prices move.
