Free Professional Invoice Template Kenya (Excel) — VAT / eTIMS-ready

A proper tax invoice in Kenya needs your KRA PIN, the buyer's PIN and VAT shown clearly — the details eTIMS expects. This free template captures all of it and does the maths: enter your line items and it computes amounts, VAT and the total. Fill your business details once and every future invoice is ready in a minute.

What's inside

  • Captures seller PIN + buyer PIN (eTIMS-ready)
  • 16% VAT engine — set to 0 if you're not VAT-registered
  • Business details entered once, pulled into every invoice
  • White-label: only your brand prints
  • Prints clean on A4 / saves as PDF

The tabs

  • Start Here (guide)
  • Settings (your details, once)
  • Invoice (print / PDF)

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

Your business name, address, KRA PIN, contacts, payment details and VAT rate live on a Settings tab you fill once; the invoice pulls them in automatically. VAT is 16% by default, but if you're not VAT-registered you set the rate to 0 and the VAT line simply becomes zero — the label even updates to match.

The invoice itself is white-label: only your brand appears on it, nothing of ours. Print it or save it as a PDF and send it by email or WhatsApp. It opens in Excel or Google Sheets.

When you'd rather make invoices online — numbered and saved automatically — our free invoice generator produces the same clean look in your browser.

Frequently asked questions

Is this invoice template eTIMS-ready?

It captures the details eTIMS expects — your KRA PIN, the buyer's PIN, item lines and 16% VAT shown clearly. It is a professional tax-invoice document; it does not submit to eTIMS for you, but it gives you everything you need before submission.

What if I'm not registered for VAT?

Set the VAT rate to 0 on the Settings tab. The VAT line becomes zero, the total equals the subtotal, and the label updates to 'VAT (0%)'. No formulas to change.

Will my customer see any LeadAfrik branding?

No. The invoice is white-label — it prints only your business name and details. Our branding stays on the guide sheet, never on the document you send.
