Free Chama & SACCO Ledger (Excel) — contributions, loans & interest

A chama or SACCO lives or dies by its records. This free ledger keeps them straight: log each member's contributions, record loans with interest and repayments, and the workbook shows every member's position and the fund's cash on hand — so the treasurer's book always balances and no contribution or loan is ever lost.

The tabs

  • Start Here (guide)
  • Members
  • Contributions
  • Loans
  • Dashboard

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

It has four tabs. Members is the register — add each person once and their totals roll up automatically. Contributions is a simple log with a member dropdown. Loans records each loan's principal, monthly interest and term; interest, total repayable and the outstanding balance compute themselves, and the status shows OPEN, PARTIAL or CLEARED as members repay. The Dashboard shows total collected, loans issued, outstanding, interest earned and the fund's cash on hand.

Interest is simple flat interest (principal × monthly rate × term) — the model most chamas use — and you can change the rate or term on any loan row. Everything is a formula; only the yellow cells accept typing, so members can read the book without breaking it.

Share the Google Sheets version with your officials so everyone sees the same numbers, or keep it in Excel for month-end statements.

Frequently asked questions

How is loan interest calculated?

The template uses simple flat interest: interest = principal × monthly rate × term (months), and total repayable = principal + interest. This is the model most chamas use. You can change the rate or term on any individual loan row.

Can it handle many members and loans?

Yes — the register holds dozens of members, the contributions log hundreds of entries and the loans tab many loans. Every member's balance and the fund total stay correct as you add rows.

Is it safe to share with the whole group?

Yes. The formulas are locked and only the input cells accept typing, so members can view the book — for example as a shared Google Sheet — without accidentally changing the maths.
