Free M-Pesa Agent Float & Commission Tracker (Excel)

An M-Pesa agent's whole business is keeping cash and e-float in balance — and knowing the commission it earned. This free tracker does both: log each customer deposit and withdrawal, and it keeps a running cash position, a running e-float position and your total commission, so at close of day the till and the phone should match the sheet.

What's inside

  • Running cash and e-float positions that reconcile at close of day
  • Commission earned totalled across the day
  • Editable commission bands guide
  • Negative e-float flags red (a mis-logged entry)
  • Formulas locked; only the yellow cells accept typing

The tabs

  • Start Here (guide)
  • Bands (editable)
  • Transactions
  • Dashboard

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

Set your opening cash and opening e-float on the Dashboard. On the Transactions tab, log each deposit and withdrawal with the amount and the commission earned — the Bands tab holds an editable commission guide you can set to your current agent rates. Because a deposit takes in cash and sends out e-float (and a withdrawal does the reverse), the sheet keeps both balances moving in the right direction.

The Dashboard shows total transactions, deposit and withdrawal values, commission earned, and your expected cash on hand and e-float remaining — the two numbers you reconcile against the till and the line at close of day. If e-float ever goes negative you've mis-logged something, and it flags red. Only the yellow cells accept typing.

For your whole business — not just the till — Biashara Yangu keeps the books automatically from your M-Pesa records.

Frequently asked questions

How do cash and e-float move on a deposit vs a withdrawal?

When a customer deposits, they hand you cash and you send them e-float — so your cash goes up and your e-float goes down. A withdrawal is the reverse: you pay out cash and receive e-float. The tracker applies this automatically, so both balances stay correct.

Where do the commission figures come from?

You enter the commission you earned on each transaction. The Bands tab holds an editable guide by transaction size to help — set it to your current agent rates, and confirm them with Safaricom, since agent commissions change.

Does it work in Google Sheets?

Yes — upload the .xlsx to Google Drive and open it with Google Sheets, and track your float from your phone.
