Free Till & M-Pesa Daily Reconciler (Excel) — catch missing money

Money leaves a till 200 shillings at a time — small enough to miss each day, big enough to hurt over a month. This free reconciler catches it: each day, enter what your records say you sold and what actually landed (M-Pesa Till, cash counted, card), and the sheet shows the difference and flags any day that comes up short.

The tabs

  • Start Here (guide)
  • Reconciliation
  • Dashboard

Yellow cells only. You type in the yellow cells; the rest are locked formulas. Gridlines are off and it prints clean on A4.

One row a day. Enter sales rung up, the M-Pesa Till total, the cash you counted and any card takings; the sheet totals what landed and compares it to what you should have collected. A red SHORT means money is missing — investigate that day. The Dashboard totals your sales, what actually landed, the net difference, the number of short days, the total shortfall and your worst single day.

It's the daily discipline that separates shops that leak cash from shops that don't — with the maths done for you and the formulas locked. Opens in Excel or Google Sheets; reconcile from your phone at closing time.

Frequently asked questions

How does it catch missing money?

Each day you enter what you should have collected (sales rung up) and what actually landed (M-Pesa Till + cash counted + card). If what landed is less than what you sold, the day is flagged red SHORT and the shortfall is totalled — so a leak can't hide in the daily noise.

Where do I get the M-Pesa Till total?

From your daily M-Pesa Buy Goods / Till statement or the day's SMS receipts. Enter the day's total in the M-Pesa column; you can also read your full Till statement free with our M-Pesa analyzer.

Can it help detect staff theft?

It surfaces the pattern: consistent shortfalls on particular days or shifts are exactly what the SHORT flags reveal, so you know where to look — without accusing anyone on a hunch.
