Free Tea Farm Income & Expense Tracker (Excel, KES) — Kenya

A tea grower is paid in two parts, an initial rate on delivery and a bonus later, and the plucking labour never stops, so the real income is easy to lose track of. This free tracker keeps it straight: record every delivery, every payment and every cost, and it shows your net income month by month.

Basic vs Premium

The free version does the job. The premium does more of it.

  • Works in Excel or Google Sheets, on your phone
  • Yours to keep, no sign-up

Premium — KES 500

On the Deliveries tab, log each green leaf delivery with the date and the kilos. On Payments, record what the factory pays you, both the initial monthly rate and the later bonus, so nothing is forgotten. On Costs, capture fertiliser and the plucking and maintenance labour that are the grower's biggest expense.

The Monthly Summary pulls it together: kilos delivered, payments received and costs, and the net income for each month. Yellow cells are your only inputs; the rest are locked formulas. The premium version works out the price you actually realised per kilo and your cost per kilo, and prints a clean monthly statement. Opens in Excel or Google Sheets.

Frequently asked questions

Is the basic version free?

Yes. The basic tea tracker is free to download and keep. The premium upgrade, with price per kg and a printable statement, is an optional KES 500.

Does it handle the bonus payment?

Yes. The Payments tab has a place for both the initial monthly rate and the later bonus (second payment), so your recorded income matches what you are actually paid.

Can I use it for KTDA deliveries?

Yes. It works for any grower delivering green leaf to a factory. Log the kilos and the payments as they come, whatever the buyer.
