Free Farm Workers Payroll (Excel, KES) — casual labour attendance and wages

Casual labour is most farms' biggest cost and the easiest to get wrong. This free payroll keeps it fair and clear: list your workers and their daily rate, mark attendance day by day, and it works out each worker's wages for the week and the month, and the total wage bill you owe.

Basic vs Premium

The free version does the job. The premium does more of it.

The free basic workbook above is a complete, formula-driven template you can use forever. The premium upgrade adds the extras that turn record-keeping into a management tool.

  • Works in Excel or Google Sheets, on your phone
  • Yours to keep, no sign-up

Premium — KES 500

  • A monthly wage-bill dashboard, drawn as bars
  • Overtime and half-day handling built in
  • Swahili labels alongside English (Mishahara, Siku, Jumla)

On Workers, list each person once with their role and daily wage. On Attendance, mark the days (and half-days) each worked, and any overtime hours. The sheet multiplies days by the daily rate, adds overtime, and gives each worker's weekly and monthly pay without you reaching for a calculator.

A wage-bill total shows what the whole team costs, so a farmer can plan cash before payday, not after. Yellow cells are your only inputs. The premium version prints a clean per-worker payslip and shows the monthly wage bill on a dashboard. Opens in Excel or Google Sheets.

Frequently asked questions

Is the basic version free?

Yes. The basic payroll is free to download and keep. The premium upgrade, with printable payslips and a wage-bill dashboard, is an optional KES 500.

Is it built for casual labour?

Yes. It is designed around daily-rate casuals: mark the days worked and the pay follows. Half-days and overtime are handled so a fair day's pay is easy to compute.

Can I keep a whole season in one file?

Yes. Keep marking attendance through the season; the weekly and monthly totals update as you go. For a new season you can copy the file to keep the old record intact.
