Free Laboratory Test Register (Excel) — samples, turnaround & pending tests

A busy lab loses samples in the gap between the bench and the report book, and no one can say which results are still owed. This free register keeps one row per sample: log what was collected, mark it Pending, In progress or Reported, and the turnaround days work themselves out. A pending list shows what is still owed, oldest first, and counts by test type show where the work goes. It is a record-keeping aid, not a laboratory information system, and no patient data is held by LeadAfrik.

Basic vs Premium

The free version does the job. The premium does more of it.

The free basic workbook above is a complete, formula-driven template you can use forever. The premium upgrade adds the extras that turn record-keeping into a management tool.

Basic — Free

  • The core sheets and formulas, in KES
  • Works in Excel or Google Sheets, on your phone
  • Yours to keep, no sign-up

Premium — KES 500

  • A turnaround analysis grouping samples into same-day, 1, 2, 3 and 4+ day bands
  • Swahili labels alongside English (Sampuli, Kipimo, Matokeo, Muda)

On the Register tab, log each sample: its number, the date collected, the patient, the test requested from a dropdown, and a result status. When you report it, enter the date reported and the turnaround days fill in for you. The Pending tab lists every sample not yet reported, oldest first, with the days it has been waiting, so nothing is forgotten. Test Counts breaks the work down by test type, with how many are reported, how many pending, and the average turnaround for each.

Yellow cells are the only ones you type in; the rest is locked formulas. Because the register holds patient names and results, keep it on a device only your staff can reach, and in Google Sheets share it with named people, never a public link. Opens in Excel, WPS or Google Sheets, so you can keep it on the bench or on your phone.

Frequently asked questions

How does it work out turnaround time?

For each sample you enter the date collected and, once the result is out, the date reported. The register subtracts one from the other to give the turnaround in days, and the dashboard (premium) shows your average and longest turnaround and a same-day rate.

Is patient data safe in this file?

The file lives wherever you keep it and nothing is sent to LeadAfrik. Because it holds patient names and results, keep it on a device only authorised staff can reach, and in Google Sheets share it with named people, not a public link. It is a record-keeping aid, not a laboratory information system.

Will it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets. The test-type dropdown, the pending list, the counts and the dashboard all carry over, with no macros to enable.
