Free Staff Duty Roster (Excel) — weekly shifts & coverage for clinics

A ward runs on the rota, and a rota on scraps of paper leaves a night with no one on and a day with three too many. This free roster fixes that: list your staff once, pick a shift for each person and day from a dropdown, and every Day, Night, Off and Leave is counted for you, with a red flag the moment a day falls below the cover you need.

  1. Download the file above.
  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

The .xlsx format opens free in Google Sheets, LibreOffice, or Excel for the web — no paid software required.

On the Staff tab, add each person once: staff number, name, role (Nurse, Doctor, Clinical Officer, Lab, Support) and phone. On the Roster tab, pick a shift for each staff member across Monday to Sunday from the dropdown (Day, Night, Off, Leave). Each person's day, night, off and leave counts fill in automatically, and the coverage block under the grid counts how many are On Day and On Night each day. Set your Min Day and Min Night targets and any day below them is flagged GAP in red.

Log time off on the Leave Tracker, where the number of days works itself out from the start and end dates. The Summary tab reads the whole week back to you: staff on the roster, day and night shifts, leave days, and how many days have a coverage gap. Yellow cells are the only ones you type in; every other cell is a locked formula. Opens in Excel, WPS or Google Sheets.

Frequently asked questions

Will it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets, or use it in Excel or WPS. The shift dropdowns, the per-staff counts and the coverage flags all carry over.

How does the coverage check work?

Under the rota grid the sheet counts how many staff are On Day and On Night for each day. You set a Min Day and Min Night target in the yellow cells; any day that falls below either is flagged GAP in red, so you see a thin shift before it happens.

Can I roster more than a week?

The grid covers Monday to Sunday. For the next week, save a copy of the file (one per week) or clear the shift cells and start again. The premium version adds a printable one-page rota you can pin up each week.
