Free Exam Analysis Dashboard (Excel) for Kenyan teachers

An exam is only useful once someone reads it, and reading a mark sheet by hand tells you almost nothing. This free dashboard does the reading for you: enter each learner's subject marks and it works out the average for every subject, counts how many learners landed in each grade band and draws it as bars, ranks the class from top to bottom, and gives you the mean grade for the whole class. One glance shows you which subject to worry about and who needs help.

  1. Download the file above.
  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

The .xlsx format opens free in Google Sheets, LibreOffice, or Excel for the web — no paid software required.

You enter learners once on the Class List and their marks once on the Marks tab, where the subjects run across the top and the learners down the side. Everything else is read for you. The Dashboard shows the subject averages as bars, the grade distribution (how many learners scored an A, a B, and so on) with a bar for each band, the top five and bottom five of the class, the class mean percentage and the class mean grade, and the pass rate against a pass mark you set. The A to E bands and the pass mark live on an editable Grading Scale tab, so the whole analysis follows your school's own policy.

Yellow cells are the only ones you type in; every other cell is a locked formula, so nothing can be knocked out of place. It opens in Excel, WPS or Google Sheets, so you can run the analysis from a phone and share the same sheet with the head of department. The premium upgrade adds a performance trend across up to three exams, for the class and for each learner with in-cell bars, a deeper per-subject analysis, a printable A4 report and Swahili labels alongside English.

Frequently asked questions

Is the basic version free?

Yes. The basic Exam Analysis Dashboard is free to download and keep, and you can use it every exam. The premium upgrade, with a three-exam performance trend and a printable report, is an optional KES 500.

How is the grade distribution worked out?

Each learner is given a mean grade from their subject marks on the editable A to E scale. The dashboard then counts how many learners fall in each band with COUNTIF and draws a bar for each, so you can see the shape of the whole class at once. We checked it against a hand-worked class of six: A one, B one, C two, D one, E one.

Does it work in Google Sheets and on a phone?

Yes. Upload the file to Google Drive and open it with Google Sheets, or use Excel or WPS. The dropdowns, the bar visuals and every formula carry over, so you can enter marks and read the analysis from your phone.
