Free Teacher Timetable Generator (Excel) for Kenyan schools

A timetable falls apart the moment one teacher is booked in two rooms at once, and you usually find out in front of a class. This free generator stops that: add one lesson per row, pick the day, period, class, subject, teacher and room from dropdowns, and it flags CLASH in red the instant the same teacher or the same room is used twice in one slot. Then it turns the plan into a clean grid for each class.

  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

On the Setup tab you edit six lists once, days, periods, classes, subjects, teachers and rooms, and every dropdown in the workbook reads from them. On the Timetable tab you build the plan one lesson at a time. Two columns watch every slot: Teacher clash counts how many lessons put the same teacher in the same period on the same day, and Room clash does the same for rooms, so a double-booking turns red before it ever reaches a bell.

Class View pulls it together: pick a class and read its whole week as a periods-by-days grid, ready to print. The Workload tab counts each teacher's lessons per week for you and shows how busy each room is. Yellow cells are the only ones you type in; every other cell is a locked formula, so the maths cannot break. It opens in Excel, WPS or Google Sheets, so you can plan on a laptop and check it on your phone.

Frequently asked questions

How does the clash check actually work?

Every lesson is one row with a day, a period, a teacher and a room. The workbook counts, for each row, how many lessons put that same teacher in that same period on that same day. If it is more than one, the Teacher clash column shows CLASH in red. The Room clash column does the same for rooms, so both kinds of double-booking are caught automatically.

Can I set my own periods, classes and subjects?

Yes. The Setup tab holds all six lists, days, periods (with start and end times), classes, subjects, teachers and rooms. Edit them to match your school and every dropdown and grid updates to follow. It fits a primary school, a secondary school or a college.

Will it work in Google Sheets on my phone?

Yes. Upload the file to Google Drive and open it with Google Sheets. The dropdowns, the clash flags, the class grid and the workload counts all carry over, because everything is built with ordinary formulas and no macros.
