Free Student Marks & Gradebook (Excel) for Kenyan teachers

Marking is done; the arithmetic should not eat your evening. This free gradebook takes it off your hands: type your class list once, enter each learner's mark per subject, and it grades every learner on an editable A to E scale, adds up the total, works out the mean percentage and ranks the whole class. Change a mark and the grade, the mean and the position all update on their own.

  1. Download the file above.
  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

The .xlsx format opens free in Google Sheets, LibreOffice, or Excel for the web — no paid software required.

On the Class List tab you type each learner once: admission number, name, class and gender. On the Marks tab the subjects run across the top (rename the yellow headers to your own) and the learners run down the side, pulled in from the class list, so you never retype a name. Enter the marks and the Total, Mean %, Grade and Rank columns fill themselves in. The Grading Scale tab holds the A to E bands and the pass mark, all in yellow cells you can edit to match your school, so the grades follow your own policy rather than ours.

The Subject Analysis tab shows the class mean, the highest and the lowest mark for every subject, so you can see at a glance which subject carried the class and which one pulled it down, and the Term Report prints one learner's marks, grade and position on request. Yellow cells are the only ones you type in; every other cell is a locked formula, so a busy staffroom cannot break the maths. It opens in Excel, WPS or Google Sheets, so you can mark from a phone. The premium upgrade adds a class dashboard with bars, a printable report card per learner, term-on-term progress and Swahili labels.

Frequently asked questions

Is the basic version really free?

Yes. Download the basic Student Marks & Gradebook, keep it, and use it term after term at no cost. The premium upgrade, with a dashboard, printable report cards and term-on-term progress, is an optional KES 500.

How are the grades and rank worked out?

Each learner's mean is the average of their subject marks. The Grading Scale tab sets the A to E bands by a 'from mark' you can edit, and the grade is read off that scale. The rank uses RANK over the class means, so the top mean is position 1. We checked it against a hand-worked class of six and every grade and rank matched.

Can I change the subjects and the grading bands?

Yes. The subject names are the yellow header cells on the Marks tab, so rename them to your own subjects. The A to E bands and the pass mark are yellow cells on the Grading Scale tab, so you can match your school's policy exactly and every grade updates.
