Free Private Tuition Income Tracker (Excel, KES) for tutors

Private tuition is a real business, and a business that does not track who has paid loses money quietly. This free tracker fixes that: set each student's agreed rate once, log every lesson and tick whether it was paid, and the workbook bills it, totals your income by month, and shows the outstanding balance for each student in red. No guessing at the end of the month about who still owes you.

  1. Download the file above.
  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

The .xlsx format opens free in Google Sheets, LibreOffice, or Excel for the web — no paid software required.

On the Students tab you list each learner, the subject you teach them and the rate per lesson in KES. On the Lesson Log you add one row per session, the date, the student from a dropdown, how many lessons and whether they paid, and the amount billed is worked out from that student's rate for you. Each student's total billed, paid and balance rolls up on its own, turning red the moment a balance is owed.

The Monthly Summary totals your income billed, income paid and what is still outstanding for every month, plus a running grand total, so a term of scattered lessons becomes a clear set of numbers. Yellow cells are the only ones you type in; everything else is a locked formula. It opens in Excel, WPS or Google Sheets, so you can update it on your phone straight after a lesson.

Frequently asked questions

Is the basic version really free?

Yes. Download the basic Private Tuition Income Tracker, keep it, and use it term after term at no cost. The premium upgrade, with an income dashboard and printable per-student statements, is an optional KES 500.

How is each student's balance worked out?

You set the student's rate per lesson on the Students tab. On the Lesson Log, each session is billed as lessons times that rate, and marked paid or not. The workbook adds up everything billed to the student and everything they have paid, and the balance is billed minus paid, shown in red when they still owe.

Can I use it for hours instead of whole lessons?

Yes. The lessons column takes any number, so you can enter 1.5 for an hour and a half at your per-lesson or per-hour rate. The billed amount and every total follow the same way. It works in Excel, WPS or Google Sheets.
