Free Class Attendance Register (Excel) — daily P/A/L, counts and percentages

Marking a register by hand tells you who came today, but not who is quietly slipping away. This free register fixes that. Type your class list once, then mark every learner P, A or L each day from a dropdown, and the register works out each learner's attendance percentage, a whole-class monthly summary and an absentee report that flags anyone below your threshold in red.

  1. Download the file above.
  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

The .xlsx format opens free in Google Sheets, LibreOffice, or Excel for the web — no paid software required.

On the Class List tab, type your school, class and each learner's name once. On the Attendance tab, pick the month and mark each day P (present), A (absent) or L (late) from the dropdown in every cell. The Present, Absent, Late and Present percentage columns update on their own, so a full month of marks becomes a set of numbers you can act on.

The Monthly Summary counts enrolment, present and absent marks, average attendance and the overall rate for the class, while the Absentee Report lists every learner against a threshold you set (90 percent by default) and flags anyone below it as REVIEW in red. Yellow cells are the only ones you type in; every other cell is a locked formula. It opens in Excel, WPS or Google Sheets on a phone, with no macros.

Frequently asked questions

Is the basic version really free?

Yes. Download the basic Class Attendance Register, keep it, and use it term after term at no cost. The premium upgrade, with an attendance dashboard, a per-day analysis and a printable register, is an optional KES 500.

How is the attendance percentage worked out?

For each learner it counts the P and L marks (present, including late) and divides by the total days marked (P plus A plus L). Blank days are ignored, so a learner is never penalised for days the register was not taken.

How does the absentee report work?

Set your threshold on the Absentee Report tab (90 percent by default). Every learner whose attendance falls below it is flagged REVIEW in red, so one glance tells you who to follow up.
