Free School Inventory Tracker (Excel) — asset register and stock-take

A school owns far more than most registers ever capture: textbooks, desks, lab equipment, laptops, sports kit. When none of it is written down, things walk, and nobody can put a value on the school's assets for the board or an auditor. This free tracker fixes that with one honest register: list each item once and it works out the value per line, a grand total, and flags anything low in quantity or in poor condition.

  1. Download the file above.
  2. Open Google Drive, then New → File upload and choose the file.
  3. Right-click it in Drive → Open with → Google Sheets. It becomes a fully editable Google Sheet — every formula and tab intact — and works on your phone too.

The .xlsx format opens free in Google Sheets, LibreOffice, or Excel for the web — no paid software required.

On the Asset Register tab you add each item: name, a category from the dropdown (Textbooks, Furniture, Lab equipment, ICT devices, Sports, Other), location, quantity, a minimum quantity, unit value in KES, condition and the date acquired. The total value per line and a flag work themselves out, so anything at or below its minimum shows LOW and anything in Poor or Damaged condition shows CHECK. The Movements tab logs every issue, return and new delivery, with the item picked from a dropdown so names always match.

The Summary totals your grand asset value, counts what is low or needs checking, and breaks value down by category. Yellow cells are the only ones you type in; the rest are locked formulas, so a busy office cannot break the maths. It opens in Excel, WPS Office or Google Sheets, so the register can be shared with the head teacher and the bursar. The premium upgrade adds a value dashboard and a printable A4 stock-take you can carry round to count against.

Frequently asked questions

Is the basic version free?

Yes. The basic School Inventory Tracker is free to download and keep. The premium upgrade, with a value-by-category dashboard, a deeper analysis and a printable stock-take, is an optional KES 500.

How does the low-quantity flag work?

You set a minimum quantity for each item. When the quantity on the register falls to or below that minimum, the flag shows LOW in red. Items marked Poor or Damaged show CHECK, so a single glance at the flag column tells you what needs attention.

How is the total value calculated?

Each line's value is quantity times unit value in KES, worked out for you. The Summary adds every line into a grand total and also breaks the value down by category, so you can report the school's asset value to the board or an auditor.
